How to get your Student Card

How do I get my Student ID Card?

Students of Hochschule Geisenheim University receive a chip card application form to apply for their student ID card during the enrollment process.

Please attach a photograph to the signed form and bring it to the Admissions Office in person or send it to us by post.

The photograph must:

  • Be a high-contrast color passport-style photo.
  • Clearly show your face.
  • Completely fill the frame (35 × 45 mm).
  • Not be a scanned image with a resolution below 1200 dpi.
  • Be attached using a glue stick only (please do not use staples, liquid glue, or photo corners).

Without a suitable photograph, we cannot issue a Student ID card.

When will I receive my Student ID card?

Once your chip card application form has been received by the Admissions Office, we will order your student ID card from Goethe University Frankfurt, which produces the cards on our behalf. For this reason, it usually takes approximately 10 to 15 working days after we receive your application before your student ID card is ready for collection at the Admissions Office.

Please note:

  • The card can only be collected in person upon presentation of an official photo ID
  • The student ID card cannot be sent to you by mail
  • It cannot be collected by a third party

Before you are able to use the card, it must be validated at one of our validation machines.

How do I Validate my Student ID Card?

After receiving your student ID card, you should validate it at one of the two validation machines located in the campus building (opposite the entrance to the cafeteria). During validation, information about the validity period is printed on the lower white strip of the card using a thermal printing process.

The printed validity information must be renewed each semester to extend the card's validity. Once you have successfully re-registered for the next semester, you can validate your student ID card again at a validation machine to update the validity period. You can check your re-registration status at any time in the HisPro portal.

Validation Tips

  • Remove any card sleeves or covers before inserting the card into the machine.
  • Ensure that the card is not bent or dirty and that the lower white strip is not scratched or greasy (see “Card Defects”).
  • Do not write on or attach anything to the card. Any alteration of the card may result in disciplinary action.

Ferry Ticket and the Deutschlandticket

Ferry Ticket

The student ID card includes a ticket for the Bingen–Rüdesheimer and FRS Rhine Ferry services. It entitles you to unlimited crossings on both Rhine ferries, whether traveling on foot or with a bicycle, moped, motorcycle, or passenger car with a maximum permitted gross weight of 3.0 tonnes. Standard ferry operator fares will apply to any other vehicles transported, and these costs are to be paid directly by the passenger. The ticket is non-transferable and can only be used by the student. 

To use the ferry ticket, you must validate your student ID card at the machine opposite the cafeteria each semester after paying your semester contribution. The card does not contain a digital ticket; instead, the printed validation serves as proof of eligibility to use the ferry services. 

You may extend the validity of your Student ID card as soon as your re-registration has been successfully completed.

Deutschlandticket

In the past, the student ID card also served as a ticket for other regional public transportation. However, this function is currently being replaced by the Deutschlandticket, which is issued separately from your student ID card and allows you to use all regional public transportation throughout Germany. The AStA will provide you with a link to download your Deutschlandticket to your mobile phone.

The Deutschlandticket is valid on a semester basis:

  • 1 October – 31 March
  • 1 April – 30 September

It can be used on all modes of transport included in the Deutschlandticket scheme, meaning everying except for IC, EC, IR, and ICE trains.

Refund of the SemesterTicket fee

A refund of the semester ticket fee is possible under certain circumstances, for example in the case of a semester abroad, prolonged illness, double enrollment, disability, or an approved leave of absence.

To receive a refund, an application must be submitted to the Admissions Office. The application form and an information sheet with further details can be found on the right under ‘Applications and Forms’.

Application deadlines:

Summer semester: April 15
Winter semester: October 15

All additional documents required for the application must also be submitted to the Admissions Office by these dates.

If your student ID card has already been validated for the semester, it must be revalidated after approval so that the semester ticket can be removed. The newly validated card must be presented to the Admissions Office by April 20 or October 20 at the latest. Only then can the refund be processed. To speed up the process, we recommend validating your student ID for the next semester only after your refund application has been approved.

Process overview:

  • Submit the application with all required documents to the Admissions Office by the deadline (April 15/October 15).
  • Wait for the confirmation email.
  • Revalidate your card if necessary (by April 20/October 20).
  • Present the newly validated card to the Admissions Office.
  • Wait for the refund to be transferred to your account.

Care and Handling Recommendations

To ensure the card stays functional, please observe the following guidelines:

  • Store the card flat and do not fold or bend it.
  • We strongly recommend using a protective sleeve, preferably one made of hard plastic. Soft plastic sleeves often contain chemicals that can damage the surface of the card.
  • The thermal strip is sensitive to friction and sweat and should be handled carefully to keep the printed information legible. The print can be renewed using the validation machines.
  • Do not expose the card to high temperatures (for example, by leaving it in direct sunlight or washing it in a washing machine).
  • Because the card is intended for everyday use, defects are generally assumed to result from improper handling. In such cases, students must cover the cost of a replacement card. The replacement fee is €15.
Card Defects

If the thermal strip on the card becomes difficult to read, please request a new student ID card through the Admissions Office.

If the integrated MIFARE chip stops functioning or another defect is detected, the card must be presented to the Admissions Office for inspection. If the student is not responsible for the defect, a replacement card will be issued free of charge. Otherwise, a fee will apply.

When a student ID card is replaced, the original photograph on file will be used.

The cards are produced and personalized by Goethe University Frankfurt and then sent to the Admissions Office at Hochschule Geisenheim University for collection. Production and delivery take approximately 10 to 15 working days. When collecting the replacement card, please bring a form of photo ID with you.

If your card is lost or stolen

Please immediately report the loss of your student ID card to the Admissions Office so that we can deactivate the chip. 

Please note that any stored credit on the card cannot be blocked. Funds loaded onto the card function like cash and cannot be replaced.

A fee of €15 is charged for issuing a replacement card after loss.

Data protection information for the Student Card

The Student Card of Hochschule Geisenheim University serves as a student photo ID, SemesterTicket, library card and electronic wallet. The validation and updating procedures are fully automated. Production of the cards and operation of the validation devices is handled on behalf of Hochschule Geisenheim University by the Johann-Wolfgang-Goethe University in Frankfurt am Main. This involves the processing of your personal data. The necessary data is transferred to the Johann-Wolfgang-Goethe University in Frankfurt am Main, where it is automatically processed. The data originates from the student administration system of Hochschule Geisenheim University. In addition, a valid photo is required for the production and use of the card. This photo is separately scanned in automatically via a data sheet and then digitally stored.

The legal basis for the processing of your personal data is provided by the ‘Regulation on the Enrollment Process and the Processing of Personal Data at the Universities and Institutes of Higher Education of the State of Hessen’ (Verordnung über das Verfahren der Immatrikulation und die Verarbeitung personenbezogener Daten an den Hochschulen des Landes Hessen

[Hessische Immatrikulationsverordnung]) dated 24 February 2010 (Statutory and Regulatory Gazette [GVBl. I 2010, p. 94 ff.]), the ‘Statutes of Hochschule Geisenheim University on the Use of Student ID cards as Smartcards’ (Satzung der Hochschule Geisenheim zum Studienausweis als Chipkarte), and the ‘General House Rules and User Regulations’ (Haus- und Benutzerordnung) of the Hochschule Geisenheim University Library.

Which data is stored?

By the Student Administration Department (Admissions Officeand Examination Administration)

Surname, first name, date of birth, degree course or courses with the corresponding study modules, student ID number, dates of enrollment and ex-matriculation, periods of leave of absence from study, fee exemptions, types of examination, examination entrance requirements, and the date and results of examinations may be automatically processed and stored for 60 years.

On the Student Card

The following data is stored in the memory of the contactless microchip: library account number, student ID number, electronic wallet, status of card holder (student), period of validity of the card, unique card serial number, issuing body and technical processor data.

For the production and validation of the card (Johann-Wolfgang-Goethe University, Frankfurt am Main)

The Goethe University Frankfurt am Main receives, stores and processes the following data for the production of the Student Card: surname, first name, photo, student ID number, library number and student status.

When is the data deleted?

In the Student Administration Department (Admissions Officeand Examination Administration)

All personal data not specified in § 17 of Hessen’s Student Enrollment Regulation (Hessische Immatrikulationsverordnung) will be deleted within one year after ex-matriculation; the data specified in Section 1 will be deleted after 60 years.

On the Student Card

After ex-matriculation the card loses its validity and can be made illegible and destroyed by the holder.

For the production and validation of the Student Card (Johann-Wolfgang-Goethe University, Frankfurt am Main)

If a card is lost or faulty, the Goethe University Frankfurt am Main has to be able to produce a replacement card and for this reason the necessary production data is stored in the production system at Frankfurt University and will be deleted within one year after ex-matriculation.

Will your data be passed on to third parties?

According to § 18 – 22 of Hessen’s Student Enrollment Regulation (Hessische Immatrikulationsverordnung), personal data may be passed on to the student body (Studentenschaft), the student services (Studentenwerk), the library, the relevant government ministry as well as the responsible health insurance providers (Krankenkassen). Personal data may be transmitted to other authorities if it is necessary for the legitimate fulfillment of the tasks of the authority concerned.

The Goethe University Frankfurt am Main receives, stores and processes the following data for the production of the Student Card: surname, first name, photo, student ID number, library number and student status.

Your Declaration of Consent

According to § 2 (Application for Enrollment) of Hessen’s Student Enrollment Regulation (Hessische Immatrikulationsverordnung), students and applicants of Hochschule Geisenheim University are required to provide the University with their personal data. Without this data they cannot be enrolled.

Student Card

The Student Card serves as a student ID, library card and SemesterTicket. Without your consent to the processing of your data as specified, we cannot issue you with a student ID card or SemesterTicket.

The security of data stored on the smartcard

The Mifare smartcard is one of the so-called “intelligent memory cards”.

The card and card reader communicate via a wireless link (13.56 MHz), which means that there are no visible contacts on the surface of the card. The antenna, which is necessary for wireless communication, is embedded around the edge of the card. Data and operating power are transmitted to the contactless Mifare chip through the antenna. The card’s construction allows for a maximum distance of 10 cm between card and reader antenna. This means that you can leave your smartcard in your wallet and simply place wallet and smartcard on the card reader at the checkout in order to deduct money from your card’s electronic wallet.

To avoid damaging the sensitive antenna coil in particular, the card should not be subjected to undue mechanical stress (bent or deformed).

The card has an installed capacity of one KB and a usable storage capacity of 768 bytes. The Mifare chip has a highly prestructured architecture consisting of 16 separate and independently usable sectors of equal fixed size. Access authorizations are separately assignable on a per-sector basis. Each sector is assigned a read key and a read/write key. This makes it possible to use the smartcard for multiple applications: each service can only access its ‘own’ sector: e.g. the canteen cannot access the library’s data.

The electronic wallet function uses anonymous payment, i.e. the checkout terminals only have access to the wallet and the card’s serial number, but not to the identity data (e.g. name, student ID or employee number) of the cardholder. This means however that if the card is lost, the wallet cannot be locked: the wallet function of a lost card can be used by third parties without restriction, i.e. the money that has been loaded onto a lost card can be “spent”.
