Information on data processing according to Art. 12, 13 GDPR 

For press and public relations purposes, we would like to take and publish photos and videos of the attendees at the upcoming event. Our recordings may include photos, audio or video files. In this context, your personal data will be processed as follows:

Personal Data

For this purpose, we primarily process your name, photo or video recording, provided that you give us your consent. If these recordings reveal special categories of data (such as origin, religious beliefs, or health) based on factors like clothing, skin color, jewelry, eyeglasses, etc. your consent shall cover such data as well.

Purposes of Data Processing 

In order to inform about and promote the university’s activities, photo, video or livestream recordings of the above-mentioned event will be made. These recordings might show you in a discussion. The livestream recordings will only cover the activities on stage during the main program. We would like to use the recorded material for our general press and public relation activities and for marketing purposes, e.g. on our website (www.hs-geisenheim.de), the social media channels of the university and its members (e.g. Instagram, Facebook, Linked-In), in newsletters and magazines or as part of our alumni efforts. If appropriate, we would also like to make it available to the press and external partners of the event.

Legal Basis of Data Processing

By providing your consent, you agree to the processing of your data by HGU (Art. 6 (1) (a) GDPR). HGU will not rely on any other legal basis.

Voluntary Consent

Your consent is voluntary. You will not face any negative consequences if you refuse to consent.

Withdrawal from Consent

You have the right to withdraw your consent towards HGU at any time, without providing reasons and with future effect. If you do not withdraw your consent, it will remain valid indefinitely. Consent may be withdrawn by telephone, in writing, or by email.

Data Processing by Third Parties in Exceptional Cases

In some cases, we hire professional photographers or producers to create photo and video recordings. Please contact us for more information regarding any specific recording project.

Disclosure of Data to Third Parties

See Purpose of Data Processing. No contract within the meaning of Article 26 GDPR has been concluded with the platform operators. There is no written cooperation agreement between the publishers of the aforementioned journals and HGU.

Duration of Data Storage

Deletion period

In general, we store and use the recordings until you withdraw your consent. Any other personal data held by the university will be deleted once the statutory retention periods have expired, or blocked if deletion is not possible.

Important Information About Data Processing on the Internet 

The university’s website and all social media platforms can be accessed from anywhere in the world. Consequently, data can be collected and analyzed. Even if the relevant data, e.g. photos, is removed from the website later on, traces of such data may remain on the internet that cannot be completely deleted. For more information, please refer to the information sheets provided separately.

Your rights regarding the processing of your personal data are set out in Art. 15-22 GDPR as well as Art. 77-79 GDPR. We would like to highlight your

Hochschule Geisenheim University takes the protection of your personal data very seriously. We collect your personal data when you visit our websites. This data is processed in accordance with relevant data protection laws. In particular, these are the Hessian Data Protection Act (HDSG) and the Telemedia Act (TMG).

Below, we provide information about the nature, scope and purpose of data collection and use of personal data. 

We neither publish your data nor forward it to third parties without authorization.

1. Data Collection and Processing When Visiting our Website

When you visit our websites, our webservers automatically log each access in a log file. 

This data is stored separately from any other data you enter while using our websites. We cannot trace this data back to a specific person. The data is used in anonymized form for statistical analysis of our websites using Matomo and is deleted afterwards.

The following data is collected:

  • IP address (anonymized)
  • Date and time of access
  • Name and URL of the accessed data file
  • Data volume transmitted
  • Access status of the web server (file transmitted, file not found, command not processed, etc.)

Logins to secure areas are partially logged in order to detect attempted malicious activity and password attacks. No data is stored that could be used to create personal profiles based on user behavior.

2. Use and Disclosure of Personal Data 

In general, you are not required to provide personal information to use our website. However, in order for us to actually provide certain services (such as event registration), we may need your personal information.

Your personal data will only be used for the purposes specified and to the extent necessary to achieve those purposes. None of this data will be disclosed to third parties without the user's prior consent.

The data you provide is stored in a database that is only accessible to administrators. Any personal data is stored only for as long as necessary to fulfill the specified purpose (e.g. processing your inquiry). In this context, we comply with retention periods required by tax and commercial law.

Personal data is disclosed to government authorities only in accordance with mandatory national laws.

3. Cookies

Our websites use cookies to enhance user experience and improve efficiency. Cookies are little text files that are stored by the internet browser on your computer. Most of the cookies we use are so-called session cookies that are deleted after you end the browser session. Cookies do not harm your computer and do not contain viruses.

4. YouTube

We use the external service provider YouTube to embed videos. For more information about YouTube’s official privacy policy, please go to: www.youtube.com/t/privacy_at_youtube

By changing the settings of your internet browser, you can deactivate or restrict the transmission of cookies. 

5. Facebook

This website uses Facebook plugins, which are provided by Facebook Inc., 1601 S. California Avenue, Palo Alto, CA 94304, USA. We hereby inform users of our website, where the Facebook plugin (“Like” button) is integrated, that the plugin establishes a connection to Facebook, which results in data being transmitted to your browser so that the plugin appears on the website.

Furthermore, when you use the plugin, data about your visits to our website is transmitted to Facebook’s servers. If you are logged into your Facebook account while visiting our website, user data can be associated with your personal account.

As soon as you actively use the Facebook plugin while being logged into your account (e.g. by clicking the 'Like' button or commenting), this data will be transmitted to your Facebook account and published. The only way to prevent this is to log out of your Facebook account beforehand.

6. Matomo

This website uses the open source web analytics tool Matomo (https://matomo.org/) to collect and store data for marketing and optimization purposes. This data may be used to create usage profiles under a pseudonym. For this purpose, cookies may be used. The data collected via Matomo will not be used to personally identify the visitor of this website without the data subject’s explicit consent, nor will it be combined with personal data about the person behind the pseudonym. Any information about your visit to our website generated by the cookie is stored exclusively on servers in Germany and is used solely for the purpose of analyzing the use of this website. The data is not linked to any other data.

You have the option to prevent the website from analyzing and linking the actions you take here. Doing so will protect your privacy, but it will also prevent the owner from learning from your actions and creating a better experience for you and other users.

 

7. Application and Mobility Platform SoleMove

We use the platform SoleMove to manage application and mobility processes. In order to carry out these activities, personal data will be processed that is necessary for this purpose. Your data will be processed according to Art. 6 (1) (e) GDPR and relevant university regulations. 10. Data Security

Our technical and organizational measures are constantly updated to protect all data against attack by unauthorized persons. Personal information is always transmitted in an encrypted form.

11. Links to websites of other providers 

Our webpages may link to websites of other providers. 

Please note that this privacy policy applies exclusively to the university’s main website. We have no control over and do not monitor whether other providers comply with applicable data protection regulations.

12. Effective date and current version of this privacy policy 

By using our website, you consent to the use of your data as described above. This privacy policy is effective immediately and replaces all previous policies.
